Data processing

Among other things, we use online conference tools for communication with our customers. The specific tools we use are listed below. If you communicate with us via video or audio conference over the internet, your personal data will be collected and processed by us and by the provider of the respective conference tool.

The conference tools collect all data that you provide/use to utilize the tools (email address and/or your phone number). Furthermore, the conference tools process the duration of the conference, the start and end time of participation in the conference, the number of participants, and other „contextual information“ related to the communication process (metadata).

Furthermore, the tool provider processes all technical data required for online communication. This includes, in particular, IP addresses, MAC addresses, device IDs, device type, operating system type and version, client version, camera type, microphone or speaker, and the type of connection.

If content is exchanged, uploaded, or otherwise provided within the tool, it will also be stored on the servers of the tool provider. Such content includes, in particular, cloud recordings, chat/instant messages, voicemails, uploaded photos and videos, files, whiteboards, and other information shared during the use of the service.

Please note that we do not have full control over the data processing operations of the tools used. Our capabilities are largely determined by the company policies of the respective providers. Further information on data processing by the conference tools can be found in the privacy policies of the tools used, which we have listed below this text.

Purpose and Legal Basis

The conference tools are used to communicate with prospective or existing contractual partners or to offer specific services to our customers (Art. 6 para. 1 lit. b GDPR). Furthermore, the use of the tools serves to generally simplify and speed up communication with us or our company (legitimate interest within the meaning of Art. 6 para. 1 lit. f GDPR). Insofar as consent has been requested, the respective tools are used on the basis of this consent; consent can be revoked at any time with future effect.

Storage duration

The data we directly capture via video and conference tools is deleted from our systems as soon as you request deletion, revoke your consent for storage, or the purpose for data storage ceases to apply. Stored cookies remain on your end device until you delete them. Mandatory legal retention periods remain unaffected.

We have no influence on the storage duration of your data, which is stored by the operators of the conference tools for their own purposes. For details on this, please consult the operators of the conference tools directly.

The company is certified under the „EU-US Data Privacy Framework“ (DPF). The DPF is an agreement between the European Union and the United States that is intended to ensure compliance with European data protection standards for data processing in the United States. We have concluded a data processing agreement (DPA) for the use of the above-mentioned service. 9. Plugins and Tools

Modular DS

We manage this website with the help of the tool Modular DS. The provider is Modular DS S.L., Spain (hereinafter referred to as „Modular DS“).

With Modular DS, we can, among other things, monitor the security, availability, and performance of our website, centrally manage WordPress updates, and create automatic backups. For this purpose, Modular DS has access to the technical data and content of the website, including the database, to the extent necessary for the provision of the respective functions.

The use of Modular DS is based on Art. 6 para. 1 lit. f GDPR. Our legitimate interest lies in the most secure, efficient, and reliable operation of our website, as well as central administration and maintenance.

If appropriate consent has been obtained, processing will be carried out exclusively on the basis of Art. 6(1)(a) GDPR and § 25(1) TDDDG, insofar as the consent covers the storage of information on your terminal device or access to information already stored on your terminal device. We have concluded a data processing agreement (DPA) with Modular DS. 10. Own Services

Handling applicant data

We offer you the opportunity to apply with us (e.g., by email, post, or via an online application form). Below, we inform you about the scope, purpose, and use of your personal data collected in the course of the application process. we assure you that the collection, processing, and use of your data will be carried out in accordance with applicable data protection law and all other legal provisions, and that your data will be treated with the strictest confidentiality.

Scope and purpose of data collection

If you submit an application to us, we will process your associated personal data (e.g., contact and communication data, application documents, notes from job interviews, etc.) to the extent necessary for deciding whether to enter into an employment relationship. The legal basis for this is Section 26 of the German Federal Data Protection Act (BDSG) under German law (initiation of an employment relationship), Article 6(1)(b) of the GDPR (general contract initiation), and – if you have given your consent – Article 6(1)(a) of the GDPR. Consent can be revoked at any time. Your personal data will be shared within our company exclusively with individuals involved in processing your application.

If your application is successful, the data you submit will be stored in our data processing systems based on Section 26 of the German Federal Data Protection Act (BDSG) and Article 6(1)(b) of the General Data Protection Regulation (GDPR) for the purpose of implementing the employment relationship.

As part of the application process, we may also conduct an internet search about you. This primarily includes Google searches, LinkedIn, and Xing. The legal basis for this type of processing is our legitimate interest in obtaining a comprehensive impression of publicly available information about you in accordance with Art. 6(1)(f) GDPR.

Data retention period

In the event that we are unable to make you a job offer, you decline a job offer, or you withdraw your application, we reserve the right to store the data you have submitted based on our legitimate interests (Art. 6(1)(f) GDPR) for up to 6 months after the conclusion of the application process (rejection or withdrawal of the application). Subsequently, the data will be deleted and the physical application documents will be destroyed. The storage serves in particular for documentation purposes in the event of legal disputes. If it becomes apparent that the data will be required after the 6-month period has expired (e.g., due to an impending or pending legal dispute), deletion will only take place when the purpose for further storage ceases to apply.

Longer storage may also take place if you have given your consent (Art. 6 para. 1 lit. a GDPR) or if statutory retention obligations prevent deletion.

Admission to the applicant pool

Unless we make you a job offer, there may be an option to include you in our applicant pool. If you are included, all documents and information from your application will be transferred to the applicant pool so that we can contact you in the event of suitable vacancies.

Inclusion in the applicant pool is granted exclusively based on your explicit consent (Art. 6(1)(a) GDPR). Giving consent is voluntary and is not related to the ongoing application process.
